Enhancements Introduced in WBS29.13.10

In this release, a teleconference keep-alive setting has been added to allow WebEx audio conferences to continue after the end of a WebEx meeting. The Windows Productivity Tool has been updated to better support WebEx sites using Collaboration Meeting Rooms (CMR). Several bugs have been fixed to improve overall usability and stability of the WebEx services.

 

CISCO WEBEX MEETING CENTER (WINDOWS & MAC) and EVENT CENTER (WINDOWS)

Enable Teleconference Keep-Alive Function for WebEx Audio

The teleconference keep-alive function can now be enabled for WebEx Audio. If this Site Administration setting is enabled in Meeting Center, then WebEx audio conferences can continue after the WebEx meeting has ended.

Productivity Tool Enhancements

The Windows Productivity Tool has been enhanced to better support Telecommunications Service Provider (TSP) audio and WebEx audio-only conferencing when your WebEx site is enabled for Collaboration Meeting Rooms (CMR).

Two Email Template Support for WebEx CMR Sites

The Windows Productivity Tool has been updated to provide two email templates when scheduling meetings on WebEx sites enabled for CMR. When scheduling meetings, the host receives a meeting invitation with the host specific meeting information along with general meeting information. Attendees receive a meeting invitation with the general meeting information. Two email templates are used when scheduling WebEx meetings and audio-only meetings using Telecommunications Service Provider (TSP) audio or WebEx provided audio.

A single email template is still used when scheduling a CMR Hybrid or Telepresence only meeting, and when scheduling a WebEx meeting in your Personal Room. In these cases, both the host and attendees receive the same meeting information containing the general meeting information.

Ability to Schedule Audio-only Conferences for WebEx CMR Sites

You can now use the Windows Productivity Tool to schedule audio-only conferences when CMR (Cloud or Hybrid) is enabled for your WebEx site. Meeting invitations utilize the two email templates as detailed above. When scheduling an audio-only conference, the host receives a meeting invitation with the host specific and general conference information. Attendees receive a meeting invitation with general conference information. Audio-only conferences can use TSP audio or WebEx provided audio.

We will be moving to a new Elemental video server as of end of business on Wednesday, March 4. We do not anticipate any disruption in service as a result of this migration.

This transition will move us off of our end-of-life video server, and will be the first step in a migration path to the Mediasite enterprise video platform, which is slated for adoption later this year.  Our new video server will continue to provide MP4 (video) and MP3 (audio) formats for course events.

Variable-speed playback for course videos will continue to be available through MyCourses. We will no longer be creating RealPlayer Stream videos after March 4, 2015.
 
Users can continue to view existing RealPlayer videos through March 20, 2015, when the Real server will be retired. All course videos from 2009 and before were created in the Real format, and will require a conversion process in order to be viewed after March 20. Should these videos be needed, they can be made available to authorized staff requestors by emailing your inquiry to itservicedesk@hms.harvard.edu or call 617-432-2000. We ask that you provide at least one week’s notice for conversion requests.

Last week, the Countway library launched a new version of its website.  When accessing library resources with the new website, users will occasionally be asked to log in using Harvard's PIN system. You may still use your eCommons username and password to log in (see screenshot below).  This change is necessary to preserve user security and maintain access to Harvard-wide electronic resources. In the coming days, HMS IT will update the links in eCommons to the new Countway website.  If you have difficulty logging in to the Countway website, please direct your questions to access services at (617) 432-2136 or circinfo@hms.harvard.edu.

ENHANCEMENTS INTRODUCED IN WBS29.12

This release continues our improvements to Cisco WebEx services.  Highlights include a new setting in Site Administration to manage content sharing when using WebEx mobile apps and an improved support experience when accessing the New User Reference link.  The join meeting process has also been improved for Meeting Center.  This release also contains an update for Network-Based Recording (NBR) that will enable audible recording announcements for customers with WebEx audio conferencing.  The NBR announcement feature will be available after updates are completed to the WebEx Cloud. The target availability for the NBR announcement feature is Q1 2015.

Improved Join Experience

This release improves the experience of joining Meeting Center meetings from the join meeting page.  If you try to join a Meeting Center meeting before it’s started, the meeting page will now automatically refresh when it’s time to join.  Messaging on the join page has also been improved.

“New User Reference” Improvement

The New User Reference function has been improved for a better support experience.  When you select the New User Reference link for your WebEx service, a web page is displayed with reference information tailored for the WebEx service you’re using.  This makes it easier to access information about a specific WebEx service.  The default setting for the New User Reference link can be changed in WebEx Site Administration.

Audible Announcement when a Meeting is being Recorded (Target Availability Q1 2015)

Network-Based Recording (NBR) has been enhanced to play an audible announcement to attendees when a recording has started in a meeting.  If you’re using telephony, you’ll hear the announcement if you’re in the meeting when a recording starts or when you join a meeting that is being recorded.   If you’re using VoIP, you’ll only hear the announcement if you’re in the meeting when the recording starts.  The NBR audible announcement feature applies only to customers with WebEx audio conferencing.

Availability:  This feature will be available after additional updates are completed to the WebEx Cloud. The target timeframe is Q1 2015.  When the feature becomes available, a new setting will appear in WebEx Site Administration allowing administrators to enable NBR audible announcements, if desired. 

WebEx Site Administration Updates

The following updates have been made to WebEx Site Administration:

  • Event Center support for iOS
    • Site administrators will be able to enable Event Center for iOS via site admin tool
    • Event Center for iOS will be released with Cisco WebEx Meetings for iPad and iPhone version 7.0 through the App Store, coming soon!

 

  • Ability to manage content sharing integrations, which is currently only available on WebEx Meetings for iPad:
    • Content sharing can be enabled with Dropbox, Box and Google Drive. 
    • If content sharing is enabled, you can selectively control whether Dropbox, Box or Google Drive integrations are enabled for mobile users.
    • You have the ability to automatically clear files that have been cached in the WebEx mobile app from Recently Shared Files.

  • Enable NBR audible announcements.  This setting will be available after additional upgrades are completed to the WebEx Cloud.  Target availability is Q1 2015.   When the feature is available, the option will appear in WebEx Site Administration and will be disabled by default.

 

  • You can change the default URL for the New User Reference link for each Center.

HUIT notice affecting video conference systems residing on the HUIT network and Jabber Users:

Starting on Friday, January 9th at 5:00 PM to Sunday, January 11th at 8:00 PM, HUIT will be updating the Harvard TelePresence and Jabber Video services.  Harvard TelePresence and Jabber Video will be unavailable during this time. 

After the upgrade, all Jabber Video users will be required to download a new client and all Harvard University video addresses will be changing from @harvard.edu to @vid.harvard.edu on Sunday, January 11th. This is the address external users use to place a video call to you.  Please communicate this change to all of your contacts outside the University. Example: first.last@vid.harvard.edu

An email will be sent to all Jabber Video/Movi users on Sunday night with a link to the new Jabber Video client.  No action is required at this time.

In early April, Cisco sent a communication regarding Microsoft's announcement that Windows XP will no longer be supported as of April 8, 2014 and if you were using Windows XP, Cisco strongly recommended that you upgrade to a supported version of Windows.
Please Note: Microsoft has also removed support for Windows XP in April of 2014 and is no longer releasing patches to keep it secure and functional.

Starting in January 2015, Cisco will no longer support Windows XP and will no longer provide fixes for any issue(s) with Windows XP that requires Microsoft changes. Cisco will be unable to fix the issue(s) because Microsoft will no longer be providing updates.
To avoid any unwanted issue(s), Cisco strongly recommends that you upgrade to a supported version of Windows.

On Friday December 5th at 5pm the Harvard Medical School Information Technology department will be moving critical systems in our Markley Data Center to a larger room with an upgraded network. This 3 day effort will result in MyCourses lecture and course videos being unavailable through Sunday December 7th.
